Data Deletion & Account Removal: The Guildhall
You have the right to delete your account and personal data from The Guildhall at any time. The fastest way is to delete your account directly in the App. If you cannot access the App, we also offer self-service deletion via the web form, PII minimization without full deletion, and a direct email request.
Because The Guildhall is local-first, on-device data (offline characters, the compendium cache, and settings) is removed automatically when you uninstall the App - no action required for that data. Some data lives in optional integrations you control yourself: files in your own Google Drive, and any AI API key, which is stored only on your device (see the sections below).
We will complete all verified deletion requests within 30 days of confirmation.
Delete Your Account In the App (Recommended)
If you are signed in, open the account screen and choose Delete Account. When you confirm, the App:
- Anonymizes your shared directory entry (email, display name, and contact handles) in the cross-game D&D Guild Hall directory via a
forget_my_memberroutine, so no personal information is left in the directory shared across the company's games. - Deletes the campaigns you own and their content, then your account, via a server-side
delete_my_accountroutine. - Clears your local character cache and signs you out.
This is immediate and cannot be undone. Files you saved to your own Google Drive are yours and are not affected by account deletion; remove those separately (see Google Drive Backups and Shared Files).
Option 1: Self-Service Web Request (Recommended)
The fastest and most complete path for signed-in users is the self-service web form.
- Visit https://ddguildhall.com/remove-my-information?app=pathfinder.
- Enter the email address associated with your account.
- We will send a verification link or one-time code to that address.
- Click the link or enter the code to confirm your identity.
- On confirmation, our server will delete your account and all associated data from both the Guildhall app database and the D&D Guildhall directory.
This flow uses email verification to ensure only the account owner can request deletion. We do not act on unverified deletion requests.
We will complete verified web deletion requests within 30 days of confirmation.
Option 2: Email Request
If you cannot access the web form or prefer to contact us directly, send an email to info@guillotine-life.com with:
- Subject: Data Deletion Request: The Guildhall
- Body: The email address associated with your Guildhall account.
We will send a verification message to that address before processing any deletion. We will acknowledge your request within 5 business days and complete processing within 30 days of identity verification.
Option 3: Minimize Your Personal Information Without Deleting Your Account
If you want to stay signed in but remove the personal information we hold about you, you can request PII minimization instead of full account deletion. This removes your profile data while retaining your account credentials, characters, and campaigns.
Specifically, PII minimization will:
- Clear your display name, postal area (ZIP), country, and all Player Finder contact handles.
- Set your Player Finder status to hidden, removing you from search immediately.
- Retain your account credentials (so you can continue signing in) and your synced characters and campaigns.
To request PII minimization, email info@guillotine-life.com with the subject line "PII Minimization Request: The Guildhall." We will apply the changes within 30 days and confirm completion.
You can also achieve most of this yourself at any time using in-app controls:
- Toggle "Findable" off to immediately remove yourself from Player Finder search.
- Clear individual contact handles from your Player Finder profile screen.
- Delete individual characters and campaigns from their management screens.
- Remove store favorites from the store screens.
- Unshare any character or campaign you previously shared, to revoke access.
- Disconnect Google Drive and clear your AI API keys from Settings.
Revoking Google Sign-In
If you signed in using Google, you can revoke the App's Google OAuth authorization at any time by visiting myaccount.google.com/permissions and removing "The Guildhall" from the authorized apps list. Revoking OAuth access signs you out of the App but does not delete your account data - use the web form or email request above for full deletion.
If you signed in with an email magic link or with an email and password, there is no OAuth authorization to revoke; use in-app deletion, the web form, or the email request above to delete your account.
Revoking Discord Sign-In
If you signed in using Discord, you can revoke the App's Discord OAuth authorization via your Discord account settings under Authorized Apps. Revoking access signs you out of the App but does not delete your account data - use in-app deletion, the web form, or the email request above for full deletion.
Google Drive Backups and Shared Files
Google Drive is optional. If you connected it, your backups and any files you shared live in a folder named "The Guildhall" in your own Google Drive. Deleting your account does not touch files in your Drive, because they are yours. To remove them:
- Open drive.google.com or the Google Drive app.
- Find the "The Guildhall" folder and delete the folder or individual files inside it.
- To stop any future Drive access by the App, disconnect Drive in the App's Settings and revoke the App at myaccount.google.com/permissions.
If you shared a character or campaign with a public link, deleting the underlying file (or tapping Unshare in the App) makes that link stop working.
AI API Keys
If you used the optional AI features, your API key is stored only on your device, never on our servers. Clear it in the App's Settings, or uninstall the App, to remove it. There is nothing for us to delete on our end.
